2. Personal Data We Process

Depending on how you interact with us, we may process:

• identification and contact details, such as your name, email address and optional telephone number;
• the content of your enquiry, message and subsequent communication;
• business and contractual information where you request a quotation, enter into negotiations or become a customer or supplier;
• limited technical and security information generated when the website is accessed, such as IP address, date and time, requested URL, browser or device information and server security logs.

3. Purposes and Legal Bases

Enquiries and pre-contractual communication

We use your data to respond to enquiries, prepare quotations and take steps requested by you before entering into a contract. The legal basis is Article 6(1)(b) GDPR. For general communication that is not pre-contractual, we rely on our legitimate interest in responding to and managing business enquiries under Article 6(1)(f) GDPR.

Performance of contracts

Where a contract is concluded, we process the data necessary to provide or receive the agreed services under Article 6(1)(b) GDPR.

Legal and accounting obligations

We process data where necessary to comply with tax, accounting and other legal obligations under Article 6(1)(c) GDPR.

Website security and legal claims

Limited technical data may be processed to keep the website secure, prevent abuse, diagnose faults and establish, exercise or defend legal claims. The legal basis is our legitimate interest under Article 6(1)(f) GDPR.

4. Sources of Personal Data

We normally receive personal data directly from you through the contact form, email, telephone or business communication. Technical data may be generated automatically by the web server or hosting infrastructure when you access the website. If another person contacts us on your behalf, we may receive your data from that person.

5. Recipients and Service Providers

Personal data may be accessible only where necessary to:

• authorised persons working for or on behalf of Cryonetix Systems;
• web hosting, IT support, cybersecurity and email service providers acting as processors;
• accountants, auditors, legal advisers or other professional advisers;
• public authorities, courts or other recipients where disclosure is required by law or necessary for legal claims.

We do not sell personal data.

6. International Transfers

We aim to use service providers that process data within the European Economic Area. If a provider processes personal data outside the EEA, we will use a lawful transfer mechanism required by the GDPR, such as an adequacy decision or the European Commission’s Standard Contractual Clauses, together with supplementary safeguards where appropriate.

7. Retention Periods

• contact enquiries that do not lead to a contract are normally retained for no longer than 12 months after the enquiry is closed;
• contractual and business communication is retained for the duration of the relationship and afterwards for the applicable limitation period;
• accounting and tax records are retained for the period required by applicable law;
• server and security logs are normally retained for no longer than 30 days, unless a longer period is necessary to investigate an incident or protect legal claims.

Data may be retained longer where required by law, a legal dispute, an authority or a documented security investigation.

8. Cookies and Tracking

This website does not currently use analytics, advertising or behavioural tracking cookies. It uses Liquid Consent to record your privacy choice in your browser’s local storage under the key cryonetix_cookie_consent_v1. The stored record contains your necessary, analytics and marketing category choices together with the date and time of the decision. This storage is necessary to remember your selection.

The preference remains in your browser until you change it through the floating cookie settings control or clear your browser data. If we introduce non-essential cookies or similar technologies in the future, we will update this Policy and request a new consent choice where required. External websites linked from this site have their own privacy and cookie practices.

Subject to the conditions in the GDPR, you may have the right to:

• request correction of inaccurate or incomplete data;
• request erasure or restriction of processing;
• object to processing based on legitimate interests;
• receive data in a portable format where the legal conditions apply;
• withdraw consent at any time where processing is based on consent, without affecting earlier lawful processing;
• lodge a complaint with a supervisory authority.

11. Provision of Data and Automated Decisions

Providing data through the contact form is voluntary, but we cannot respond without your name, email address and message. A telephone number is optional. We do not use the data described in this Policy for automated decision-making or profiling that produces legal or similarly significant effects.

We apply appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
